University of Illinois College of Medicine at Chicago Academic Grievance Policy and Procedures

The University of Illinois College of Medicine at Chicago (College of Medicine) has established a grievance procedure for students, including medical students, with complaints about the institution’s actions, including grades.

The College of Medicine expects that a medical student with a complaint about a grade will make a sincere attempt to resolve the complaint with the professor or faculty member, prior to filing a formal complaint. If the grievance involves unlawful discrimination or sexual misconduct, an attempt at informal resolution is not required.

If the matter cannot be resolved informally, the student must file the Student Academic Grievance Form within 40 days (excluding official University holidays) of the decision being grieved.

The grievance form provides the student with an important opportunity to explain and provide evidence of their concern. The complaint must include a clear description of the decision being grieved, the basis or bases for challenging the decision, the identity of the person or persons who made the decision, a requested remedy, and a description of attempts at informal resolution.

Grievances are classified into two groups. Level 1 Grievances involve decisions that impede student progress toward a degree. Level 2 Grievances involve decisions that do not impact a student’s progress toward a degree. According to the University of Illinois’ Student Academic Grievance Procedures, complaints related to grades are considered Level 2 grievances.

In the College of Medicine, the associate dean of curriculum acts as the Administrative Officer for Level 2 Grievances, unless they were directly involved with the adverse action being challenged. The Administrative Officer reviews the grievance materials and determines if a remedy is appropriate.

If the Administrative Officer does not grant a remedy acceptable to the medical student for a Level 2 Grievance, the student may appeal to the Grievance Officer.

At the College of Medicine, the decision of the Grievance Officer may be appealed to the Chancellor only if a claim of unlawful discrimination has been made or where significant procedural errors are alleged. Appeals to the chancellor must be made within five days of the Grievance Officer’s final decision.
